Add and Request Read Receipts and Delivery Notifications in Outlook

Description

How to request a read receipt and/or delivery receipt  for an outgoing email message. 

Instructions

 For Outlook Desktop App (Microsoft 365)

To request for a single message:

  1. Open a new email, or reply/forward an existing one.
  2. Go to the Options tab on the ribbon.
  3. In the Tracking group:
    • Check Request a Delivery Receipt.
    • Check Request a Read Receipt.
  4. Compose and send your message.

To request for all outgoing messages:

  1. Go to File > Options > Mail.
  2. Scroll to the Tracking section.
  3. Check:
    • Delivery receipt confirming the message was delivered.
    • Read receipt confirming the recipient viewed the message.
  4. Click OK to save changes.

⚠️ Note: Recipients can choose not to send read receipts, and some email clients don’t support them.


🌐 For Outlook on the Web (Outlook for Microsoft 365)

  1. Compose a new message.
  2. Click the three-dot menu (More actions) in the toolbar.
  3. Select Show message options.
  4. Check:
    • Request a delivery receipt.
    • Request a read receipt.
  5. Click OK, then send your message.

If you don’t see these options, your organization may have disabled them.


📌 Best Practices

  • Use read receipts sparingly—recipients are more likely to respond if they aren’t prompted every time.
  • You can track responses by opening the original message from your Sent Items, then selecting Tracking from the ribbon (after at least one receipt is received).
